Wellness

Wellness software for habits, coaching and progress

We build coaching and habit programmes that connect participant goals, check-ins and feedback. The team can follow progress, review missed updates and adjust the agreed plan.

Industry workflows

Connect the participant’s plan to the coach’s next action

Participants need to know what to record and when to expect feedback; coaches need the current plan, recent check-ins and unresolved questions in one view. We design that review cycle before adding personalisation or device feeds.

Where the work gets stuck

  • A user signs up but does not know what to do next.
  • Progress is shown as a streak without enough context to be useful.
  • Wearable data arrives from several sources with different meanings.
  • Recommendations feel generic or imply certainty the data cannot support.

How we would approach it

  • Design a first-session and return journey for the intended audience.
  • Define progress measures and how a user can correct or interpret them.
  • Scope each device integration against its permissions and available data.
  • Review recommendations, limitations and sensitive-data handling with the product owner.
Functional modules

Run the programme from enrolment to review

Choose the tools needed by participants, coaches and programme administrators; add device or community features when they serve the agreed workflow.

Coaching journeys

Guide users through agreed goals, check-ins and next steps, with a clear way to change the plan.

Participant journals

Participants can record reflections or observations and see which entries are private or shared with their coach. We define editing, visibility and review rules for the programme.

Wearable data

Bring permitted activity or sleep data into a view that explains the source and update time.

Habit tracking

We connect completed actions to the participant’s current plan and review period. Missing or corrected entries remain distinguishable from completed activity.

Community features

We define group access, shared information and moderation responsibilities before adding discussions or challenges. Participants can see who receives their updates.

Programme content

We link instructions and learning materials to the relevant stage of the plan. Coaches can see which version was assigned and when the participant completed the task.

Systems and data to assess

Systems around a wellness programme

Client records

Keep participant identity, goals and sharing preferences linked to the right programme and coach.

Bookings

Synchronise session availability, changes and cancellations with the retained scheduling tool.

Wearable feeds

Confirm permitted fields and API access, then show the source, update time and gaps in the imported data.

Programmes

Connect plan versions, assigned activities and review periods so historical progress keeps its original context.

Messaging

Route reminders and coach replies to the right participant, with notification preferences and delivery status.

Workflow examples

Test one programme with a complete feedback cycle

One possible first workflow

A participant joins a programme, follows an agreed plan and submits a check-in. Their coach reviews it, records feedback and confirms the next action.

Start with one programme and coach team, using manual participant entries and retained booking and payment tools. Device feeds, medical diagnosis and treatment recommendations are outside this example; clinical functions require separate specialist assessment.

Bring a sample plan, check-in questions, review frequency and sharing rules. Identify the programme owner who will approve the participant and coach journeys.

Checks for this example release

  • The participant sees the current plan and review period; changing the plan does not rewrite earlier check-ins.
  • Private entries stay private. Shared entries and coach feedback are visible only to the permitted accounts.
  • A missed check-in appears as missing, not as zero activity. The coach can record follow-up, and repeated notifications do not create duplicate tasks.
